Sonderplan allows you to assign Buy and Sell rates to both resources and billable items within a booking. This enables powerful financial tracking, cost recovery, and margin visibility for every scheduled job.
Booking Resource Rates
Each resource on a booking—such as rooms, freelancers, or equipment—can have buy and sell rates applied based on different time units; Hourly, Daily, Part Daily, Weekly and Fixed.
These rates are usually pre-defined in the resource setup, but can also be overridden at the time of booking. Sonderplan automatically calculates the cost and charge based on the booking duration, saving you time and improving accuracy.
- Buy Rate: What it costs your business to provide the resource (e.g. freelancer rate, room overhead).
- Sell Rate: What you charge the client for that resource.
- Profit / Margin: The difference between buy and sell, displayed per resource and across the whole booking.
You can override durations manually if the billing period differs from the actual booking length—for example, if you charge for a full day but the resource was only used for half.
You can select from predefined resource rate’s, Service Rates or enter custom values per booking, depending on the agreement with the client.
Automatic Selection of Rates
Sonderplan can be configured to automatically select the best rate for your resources, by enabling the Automatically Calculate Rates option in Global Schedule Settings.
Rate Selection Process
When a resource is added to a booking, Sonderplan will look for any rate schemes that the resource has been added to, including project rates, services and individual resource rates.
If multiple rate schemes apply, Sonderplan will choose the rate based on the following order:
Sonderplan defaults to using the “Hourly” rate, unless the booking is marked as all day, when it will use the “Daily” rate
Booking Billable Items
in addition to resources, Sonderplan allows you to add Billable Items—such as file transcodes, client catering, or consumables—to any booking.
Each item can have its own buy cost, sell price, and quantity.
The system calculates the total margin across all billable items and adds it to the booking’s profit summary.
Frequently used items can be saved as global billable items for fast reuse. This makes it easy to track additional revenue sources and capture more accurate project costs beyond just time and space.
